Applications to the principal, written for you
At some point every student or parent has to write to the school: asking for a transfer certificate before moving, a fee concession after a hard year, a bonafide certificate for a scholarship, or a change of section. These are short letters with a set format, but finding the right wording at the last minute is stressful.
This tool writes the application for you. Choose the request, say whether the student or a parent is writing, and fill in the class and a few details. The letter appears on an A4 page as you type, in English or Hindi, ready to print and sign or to download as a PDF or Word file.
There are 12 letters: transfer certificate (TC), fee concession, bonafide certificate, character certificate, section change, fee in instalments or late fee waiver, duplicate ID card, subject or stream change, leave, correction of name or date of birth, re-admission, and a re-test for a missed exam. Students also use them to practise formal letter writing for exams.
How to use the school application generator
- Choose the letter and language. Tap the request, then English or हिन्दी.
- Who it is for. Pick the principal, headmaster, headmistress or class teacher, and type the school name and city.
- Request details. Only what that letter needs: the reason, the new section, the purpose of the certificate, the exam you missed and so on.
- Your details. Say whether a student or parent is writing. A parent letter says "my son" or "my daughter", closes with "Yours faithfully" and signs as "Parent of …". Add the class, section, roll number and admission (SR) number; the school office finds the record faster with them.
- Check, then download. Yellow boxes show details still missing. Change any sentence under Change the wording yourself, then download the PDF or Word file, or copy the text.

In Hindi, choose male or female so the grammar fits: छात्र / छात्रा, सकूँगा / सकूँगी, शिष्य / शिष्या. For a parent letter, the child's gender sets पुत्र / पुत्री and the verbs about the child.
Transfer certificate: what the law says
For children in elementary education (Classes 1 to 8), the Right of Children to Free and Compulsory Education Act, 2009 deals with transfers in Section 5. When a child moves to another school, the head teacher of the old school is to issue the transfer certificate immediately; a delay in producing the TC is not a ground to delay or deny admission in the new school; and a head teacher who delays it is liable to disciplinary action under their service rules. For other classes, the school's own rules and its board decide the process. Schools usually ask you to clear dues and return library books first, which the TC letter confirms. See the TC application page for more on this letter.
Certificates schools issue on request
- Bonafide certificate: confirms that the student is studying in the school. It is commonly asked for scholarships, bank accounts for students, bus passes and passports. Say what you need it for; see application for bonafide certificate.
- Character certificate: confirms conduct during the student's time in the school, often needed for admission elsewhere.
- School leaving certificate: some schools and states issue it with, or instead of, the TC. The TC letter can ask for both.
These certificates are issued by the school office on its own letterhead. The letters here are the requests; the school decides and issues the certificate.
Fee concession and instalments
Schools set their own fee concession and instalment rules, and many have a form or a committee for it. A clear letter helps: say briefly what has happened (a job loss, illness in the family, a business closure), ask for full, half or some concession for a named session, and offer to submit documents. The fee concession application page has more on how to word it.
Section, subject and stream changes
A change of section or subject depends on seats and timetables, so the principal may say no or ask you to wait until the next term. Give one clear reason, such as a study group in the other section or a subject you need for a planned course, and offer to catch up on any lessons missed.
Tips
- Keep it short: three paragraphs at most.
- Always add the class, section and roll or admission number.
- Write the reason honestly and simply. Schools see many letters and respond best to clear ones.
- Get it signed by a parent where the school asks for it, and keep a copy or photo of the letter.
- For corrections of name or date of birth, attach proof such as a birth certificate; schools usually need it.

Frequently asked questions
How do I write an application to the principal?
Start with 'To, The Principal' and the school name, add the date and a subject line, then 'Respected Sir/Madam'. In the body, give the student's class, section and roll number, the request and the reason. Close with 'Thanking you, Yours obediently' (student) or 'Yours faithfully' (parent). The tool writes it from your details.
How do I write an application for a transfer certificate (TC)?
Choose 'Transfer certificate (TC)'. Pick the reason (family moving, admission in another school, or passed out), add the new city if you like, and the admission number. The letter asks for the TC, and can also ask for the school leaving or character certificate, and confirms that dues are cleared.
Can the school refuse or delay a TC?
For Classes 1 to 8, Section 5 of the Right to Education Act, 2009 says the head teacher is to issue the TC immediately when a child moves, a delay cannot be used to delay or deny admission in the new school, and a delay can lead to disciplinary action. For higher classes, school and board rules apply. Schools usually ask you to clear dues first.
How do I write a fee concession application?
Choose 'Fee concession', select full, half or some concession, and write the reason in one line, such as a job loss or illness in the family. Add the session. Parents can write it for their child. Offer to submit documents, and check whether the school has its own form.
What is a bonafide certificate and how do I ask for one?
It is a certificate from the school confirming that the student studies there, often needed for scholarships, bank accounts and passports. Choose 'Bonafide certificate' and write what you need it for. The school office issues it on its letterhead.
Can I write the application in Hindi?
Yes. Choose हिन्दी. The letter uses सेवा में, प्रधानाचार्य जी, विषय and सविनय निवेदन है कि, and changes words like छात्र/छात्रा and शिष्य/शिष्या for the gender you choose.
Who should sign the application, the student or the parent?
Older students often write and sign their own requests, while many schools want a parent's signature for TCs, fee matters and corrections. Choose 'Parent' to write the letter in the parent's name, or print the student's letter and have a parent countersign if the school asks.
