Let someone act for you, in writing

When you can't go yourself, an authority letter (also called an authorization letter) lets someone else do a specific job for you: collect your documents from an office, pick up a courier, get a cheque book or demand draft from the bank, collect a degree certificate from college, or follow up on an application. The office wants to know three things: who you are, who is coming in your place, and exactly what that person may do. This tool writes all of that clearly, with ID details for both people, a validity date and specimen signatures.

How to use it

  1. Choose the purpose and English or हिन्दी.
  2. Your details: name, ID type and number, address and mobile number.
  3. The person you authorise: name, he or she, relation to you, and their ID type and number.
  4. Letter to: the designation is filled in for you (for example "The Branch Manager"); add the office or company name and city.
  5. The task: the fields for that purpose, and optionally why you can't go yourself.
  6. Validity: one day or a from-to period, then the date and place of the letter.
  7. Print and sign. You sign twice (at the end and under "Signature of …"), and the person you authorise signs in the specimen box. You then sign "Attested by" next to their signature.

What makes an authority letter acceptable

  • Be specific. "Collect my B.Com degree certificate, roll no. 2301234" works better than "collect my documents".
  • ID for both people. Give the ID type and number for each person and attach self-attested copies. The authorised person carries the original ID.
  • Mask Aadhaar. If you use Aadhaar, write only the last 4 digits (XXXX XXXX 1234) and give a masked copy.
  • A clear validity. A single date, or a short period, limits misuse if the letter is lost.
  • Specimen signature. The office checks the collector's signature against the one in your letter.
  • Your responsibility. The letter says you take responsibility for what the authorised person does under it, so only authorise someone you trust.

An example

Kavita works in Pune, and her B.Com degree certificate is ready at her college in Kochi. She chooses College certificate, enters her own PAN, and authorises her brother Arjun with his driving licence number. She writes the course and roll number, picks "For a period" from today to the end of the month, and adds "I am working in Pune" as the reason. The letter reads: "I, Kavita Menon, holding PAN No. …, hereby authorise Arjun Menon, my brother, holding Driving Licence No. …, to collect my degree certificate for B.Com 2023–2026 (roll / enrolment no. …) on my behalf. I am unable to come in person because I am working in Pune." It then gives the validity, asks the college to verify his identity, and has signature boxes for both of them. Arjun carries the letter, his licence and copies of both IDs.

Where offices have their own forms

Many organisations accept a plain signed letter, but some have a set form or rule, and you should use theirs. Banks often have their own form for third-party collection and may not release some items, such as a debit card or PIN, to anyone except you. Passport offices, visa application centres, the GST portal and customs (ICEGATE) have their own processes for authorised persons and signatories. Mobile operators follow KYC rules for SIM cards and may need the subscriber in person. Call or check the office's website before you send someone.

For companies and organisations

A business can authorise an employee to collect a cheque, documents or goods on its behalf. Turn on "Print on a letterhead" to add the company name, address, contact line, logo and colour. The person signing should be an authorised signatory, and a company stamp image can go next to the signature. Use the employee's ID card number if they don't want to share a government ID.

Common mistakes

  • Leaving out the authorised person's ID number, so the office can't verify them.
  • Forgetting the specimen signature, or not attesting it.
  • Writing an open-ended letter with no date limit.
  • Sending the full Aadhaar number or unmasked copies.
  • Using the letter where the office insists on its own form.

Frequently asked questions

How do I write an authority letter?

Say who you are with an ID number, name the person you authorise with their ID number and relation to you, say exactly what they may do and where, and give the date or dates it is valid. Add both signatures and attach self-attested ID copies of both people.

What ID details should I put in an authorization letter?

An ID type and number for both people, such as PAN, voter ID, driving licence or passport. For Aadhaar, write only the last 4 digits as XXXX XXXX 1234, and give a masked copy. The person you authorise should carry the original ID.

Why does the letter have specimen signatures?

The office compares the authorised person's signature when they collect the item with the specimen in your letter. Your own signature next to it shows you have attested it.

How long is an authority letter valid?

As long as the letter says. Choose a single date or a from-to period. A short, specific validity is safer than an open-ended one.

Will the bank or passport office accept this letter?

Many offices accept a clear signed letter with ID copies, but banks, passport offices, visa centres, GST and customs portals often have their own authorisation forms or rules. Ask the office first, and use their form if they have one.

Can a company use it on its letterhead?

Yes. Turn on 'Print on a letterhead' to add the company name, address, logo and colour, and add a signature image if you like. The authorised signatory signs the printout.

Can I write the authority letter in Hindi?

Yes. Choose हिन्दी for the Hindi format (अधिकार-पत्र), with the grammar set for your gender. Names and ID numbers can stay in English.
