Optional: put the roll number first with a comma, like "12, Riya Das". Paste straight from Excel too. Leave it empty for a blank register.

Weekly off (shaded)One per line: the date, then the name (or just dates, like 2, 20).
4Columns and look
The PDF is A4 landscape for marking by hand. The Excel file has the same register with P / A / L drop-downs and formulas that count the totals and the percentage as you fill it in. Names stay in your browser.

A monthly attendance register in two minutes
Every month, a class teacher, tuition owner, shop manager or small office has to draw the same grid again: names down the side, 28 to 31 days across the top, Sundays struck out, and totals at the end. Template files help, but they rarely have the right month, the right weekdays or your names already in them.
This attendance sheet maker builds the register for the month you pick. Each day column shows its date and weekday, weekly offs and holidays are shaded, and the columns at the end hold the totals for Present, Absent and Leave, plus the attendance percentage. Print it as an A4 landscape PDF to mark by hand, or download an Excel file that does the counting for you.
It works for students (class, section and class teacher) and for staff or employees (department, shift and supervisor). Use it for a school class, a coaching batch, a hostel, a training course, a shop, a site crew or a small office.
How to make the register
- Register for. Choose Students or Staff, then the month and year. Type the name of the school, institute or company, the class or department, and the teacher or supervisor.
- Names. Paste the list, one name per line. To add roll numbers or employee IDs, put them first with a comma:
12, Riya Das. Leave the list empty for a blank register. - Days off and holidays. Pick the weekly off: Sunday, Saturday and Sunday, Sunday plus the 2nd and 4th Saturday, or none. Then type holidays, one per line, like
15 Independence Day. - Columns. Keep or drop the Leave column, the % column and the roll number column, and pick a colour.
- Download. Save the PDF and print it, save a PNG, or download the Excel file to fill in on a computer.
What's in the register
| Part | What it shows |
|---|---|
| Header | Institution, register type, month and year, class or department, teacher or supervisor, and the number of working days. |
| S.No, roll no. / ID, name | One row per student or employee. Every other row is lightly shaded so it's easy to follow across. |
| Day columns | Date and weekday (Mo, Tu, We…). Weekly offs are grey and holidays are coloured, down the full column. A darker line marks the start of each week. |
| Totals | P, A, L and %, filled in by hand on paper, or worked out by formulas in Excel. |
| Footer | The legend (P = Present, A = Absent, L = Leave), the list of holidays, and signature lines. |
How the Excel file works
The Excel download is a real spreadsheet, not a picture of one:
- Each day's cell has a drop-down with P, A, L and H, so entries stay consistent.
- The P, A and L columns use
COUNTIFto count each letter in the row, for example=COUNTIF(D6:AH6,"P"). - The % column divides the P total by the working days shown at the top and rounds to one decimal place.
- The headings and names stay in view while you scroll (frozen panes), and the sheet is set to print on A4 landscape.
The file opens in Microsoft Excel, LibreOffice Calc and Google Sheets. If you change the working days (say, a school stays open on a holiday), edit the number at the top and the percentages update.
Working out attendance percentage
Attendance percentage is the number of days present divided by the number of working days, multiplied by 100. In a month with 31 days, 4 Sundays and 2 holidays, there are 25 working days. A student present on 22 of them has 22 ÷ 25 × 100 = 88% attendance. Some institutions count a half day or approved leave differently, so check your own rules before you use the percentage for any decision.
Students or staff: what changes
Switching between Students and Staff / employees changes the words, not the grid. For students, the header asks for the class and section and the class teacher, the ID column reads "Roll no." and the signature lines say Class teacher and Principal. For staff, it asks for the department or site and the supervisor, the ID column reads "Emp. ID", and the signatures say Supervisor and Manager / HR. A coaching centre might use the student version for each batch, while a shop or clinic would use the staff version for its team. Your choice is remembered on this device for next month.
Tips for a tidy register
- Mark every working day. Leaving cells blank makes it hard to tell an absence from a missed entry.
- Use the same letters as the legend (P, A, L), especially in Excel, where the formulas count exact letters.
- Add holidays before printing. A holiday announced later can be written in by hand; in Excel, type H and correct the working days.
- Keep spare rows for new admissions or new joiners; "Fill each page with blank rows" adds them.
- Sign at month end. The footer has lines for the teacher and principal, or supervisor and manager.
For staff registers, some laws and departments prescribe their own formats for attendance or muster rolls. This tool makes a general monthly register; if a specific format applies to your establishment, use that. Running tests too? The OMR sheet generator prints practice answer sheets for your class.

Frequently asked questions
How do I make an attendance sheet in Excel?
Choose the month and year, paste your names (one per line) and press Excel (.xlsx). The file has one row per name and one column per day, with a drop-down of P, A, L and H in each day's cell. The P, A and L totals use COUNTIF formulas and the % column divides the present days by the working days, so they update as you fill it in.
How is attendance percentage calculated?
Attendance % = days present ÷ working days × 100. The tool counts working days as the days in the month minus the weekly offs and the holidays you list. For example, 22 days present out of 25 working days is 88%.
Can I mark Saturdays as holidays too?
Yes. Under Weekly off choose Sunday, Saturday + Sunday, or Sunday + 2nd and 4th Saturday (common in offices and banks), or None. Add festival and other holidays as dates, with or without names; they are shaded in a different colour and listed under the register.
Can I paste names from Excel?
Yes. Copy the name column (or the roll number and name columns together) from Excel or Google Sheets and paste it in the Names box. A roll number or employee ID before a comma or tab goes into its own column.
How many names fit on one page?
24 rows fit on each A4 landscape page with enough room to write. More names continue on the next pages with the same headings. Leave 'Fill each page with blank rows' on to get spare rows for students who join later.
Can I write names in Hindi?
Yes. Names in Hindi (Devanagari) show correctly in the preview, the PDF, the PNG and the Excel file.
Is this an official register format?
It is a general monthly attendance format for schools, coaching classes, offices and shops. Some laws and departments prescribe their own register formats for staff or students, so if one applies to you, follow that format.
