A polite resignation letter, with your dates worked out

When you leave a job, your employer will usually want a written resignation before the notice period starts, the exit process begins and your full and final settlement is worked out. The letter does not need to be long. It needs to say clearly that you are resigning, from which post, how long your notice period is and what your last working day will be.

This tool writes that letter for you. Enter your notice period in days or months and it works out the last working day, then puts the date in the letter. Choose a short or detailed tone, a reason if you want to give one, and whether to offer a handover. The letter appears on an A4 page as you type, in English or Hindi, and downloads as a PDF or Word file, or copies as text for an email.

There are eight letters: a standard letter with no reason, a new job or better opportunity, personal reasons, higher studies, moving to another city, health reasons, an immediate resignation asking for early release, and a teacher's letter to the principal.

How to use the resignation letter generator

  1. Choose the letter and language. Pick the reason that fits, or Standard if you prefer not to give one. Choose English or हिन्दी.
  2. Addressed to. Add your manager's or HR manager's name and designation and the company name. Leave the name empty and the letter opens with "Dear Sir/Madam".
  3. Your details. Your name, designation, department and employee ID, plus a personal email or phone for after you leave.
  4. Notice period and dates. Enter the resignation date and the notice period, for example 30 days or 2 months. The last working day fills in by itself. Change it if your company counts differently; your own date then stays fixed until you clear it.
  5. Reason and tone. Detailed adds a thank-you paragraph and a fuller handover offer; Short keeps it to the essentials.
  6. Download or send. Download the PDF or Word file, copy the text, or press Email to open your email app with the subject and letter filled in.

How the last working day is worked out

The tool adds your notice period to the resignation date, counting from the next day. With a notice period in months, it moves to the same date in a later month.

Companies count notice periods in different ways. Some count the day you resign, some count working days only, and some let you adjust leave or pay instead of serving the full period. Your appointment letter or HR policy decides, so check it and edit the date if needed. The notice period itself is also set by your contract; there is no single period that applies to every job.

What a good resignation letter includes

  • A clear first line. "Please accept this letter as formal notice of my resignation from the post of …" leaves no doubt.
  • Your post and department, and your employee ID, so HR can find your record quickly.
  • The notice period and last working day, written as full dates.
  • A reason, if you want. You don't have to give one. "Personal reasons" is accepted wording.
  • A handover offer. Offering to hand over your work and help train a replacement keeps the exit smooth.
  • A request about exit formalities and the full and final settlement, and a personal contact for the relieving letter, Form 16 and PF questions after you leave.

Your final pay after resigning

The Code on Wages, 2019 is one of the four labour codes the government brought into force on 21 November 2025 (PIB, 21 November 2025). Section 17(2) says that the wages payable to an employee who has resigned shall be paid within two working days of the resignation. How this applies alongside your notice period, and to items such as gratuity and PF that have their own rules, is best checked with your HR team; this page is not legal advice.

Leaving early: the immediate resignation letter

If you cannot serve the full notice period, choose Immediate (short notice). Enter the day you want to be relieved and choose what you are asking for: a waiver of the remaining notice, adjustment against your earned leave, or an offer to pay the notice amount as per company policy. Your employer decides whether to accept, so keep the tone polite and offer a full handover.

Teachers and Hindi letters

The teacher's letter goes to the principal and mentions handing over class records, attendance registers and evaluation work so the students are not affected. Every letter is also available in Hindi; the resignation letter in Hindi page opens with Hindi selected, and there is a separate page for a resignation letter for teachers.

Tips before you send it

  • Tell your manager in person or on a call first, then send the letter.
  • Keep it positive. A resignation letter stays in your file, and you may need a reference later.
  • Send it the way your company asks: email, the HR portal, or a signed printout. Keep a copy.
  • Ask HR for a written acceptance with your confirmed last working day.

Nothing you type leaves your browser: no sign-up, no watermark, no upload. If your new employer needs proof of your experience, your old employer issues the experience or relieving letter. For time off rather than leaving, use the leave application generator.

Frequently asked questions

How is the last working day calculated?

The tool adds your notice period to the resignation date, counting from the next day: resigning on 15 October with 30 days' notice gives 14 November. With months, it moves to the same date in a later month. Companies count differently, so check your appointment letter and change the date if needed.

What is the usual notice period in India?

There is no single rule for every job. Your notice period is the one written in your appointment letter or company policy, and it often depends on your level and whether you are still on probation. Always check your own contract before you resign.

Do I have to give a reason for resigning?

No. You can choose the 'Standard' letter, which gives no reason, or 'Personal reasons'. If you are moving to a new job, going for higher studies or relocating, saying so briefly is polite but optional.

Can I resign without serving the full notice period?

You can ask. Choose 'Immediate (short notice)', enter the day you want to be relieved, and request a waiver, adjustment against earned leave, or offer to pay the notice amount as per company policy. Whether this is accepted depends on your employer and your contract.

Can I send my resignation by email?

Many companies accept email or a resignation entered in the HR portal. Use 'Email' to open your email app with the subject and letter filled in, or 'Copy text'. Keep a copy and ask HR to confirm your last working day in writing.

When will I get my final salary after resigning?

Section 17(2) of the Code on Wages, 2019, in force since 21 November 2025, says wages due to an employee who resigns shall be paid within two working days of the resignation. Gratuity and PF follow their own rules. Ask your HR team how your full and final settlement will be handled.

Can I write the resignation letter in Hindi?

Yes. Choose हिन्दी. The letter uses सेवा में, विषय, आदरणीय महोदय and भवदीय/भवदीया, and the verbs follow the gender you choose. Every template, including the teacher's letter, is available in Hindi.
