A fee card for the whole session, ready in minutes
Most schools, tuition centres and coaching institutes in India still give each student a fee card: a printed record with every month of the session, the fee due, and space for the date paid, the receipt number and a signature. Parents keep it in the school bag, the accounts desk fills it in at each payment, and anyone can see in a second which months are still pending.
Ready-made fee card files are usually a scanned sample or a blank grid that you have to edit month by month. This fee card maker builds the card from your own fees. Type the monthly fees once, pick the session, and it lays out April to March (or any start month you choose) with due dates, per-month amounts and a session total. Paste a class list and you get one filled card per student in a single PDF.
The same page makes fee receipts too. Choose the months a payment covers and it adds up the fees, any late fee and one-time charges, takes off a concession and writes the amount in words, with an office copy and a student copy on one sheet.
How to make fee cards
- Choose Fee card and your type. Pick School, Tuition or Coaching institute. The labels change to suit, for example "Course or batch" and "Reg. no." for coaching.
- Add your name and address. Type the school or institute name, plus the address and phone on one line.
- Set the session. Pick the session (2026-27 runs from April 2026 to March 2027), the first month, the number of months and the day of the month by which the fee is due.
- List the fees. One monthly fee per line, like
Tuition fee, 1500andTransport fee, 800. Put admission fee, annual charges or exam fee under one-time charges. - Paste students (optional). Roll number, name, class, father's or guardian's name and phone, separated by commas or copied straight from Excel. Leave it empty for a blank card to fill by hand.
- Pick the size and download. A4 gives one roomy card per page. A5 puts two cards on each A4 sheet with a cut line. Download the PDF, print it, or save the Excel fee register.
What's on the card
| Part | What it holds |
|---|---|
| Header | Institute name, address and phone, and a "Fee card · Session 2026-27" band. |
| Student details | Name, class or batch, roll number, father's or guardian's name and phone. Empty fields print as lines to write on. |
| Month table | Month and year, due date, each fee head (when there are up to three), the monthly total, then blank columns for late fee, paid on, receipt number and signature. |
| Total row | What each fee head and the whole card add up to for the session. |
| One-time charges | Admission fee, annual charges and the like, each with its own paid-on and signature space. |
| Rules and signatures | Up to six short rules of your own (for example the due date and late-fee rule), and lines for the accountant and the principal, director or teacher. |
Making a fee receipt
Switch to Fee receipt. The fees you entered for the card are reused, so you only add the payment:
- The receipt number and date, the student's name, class, roll number and parent's name.
- The months paid for, such as April to June. Each monthly fee is multiplied by the number of months and shown with the period, for example "Apr 2026 to Jun 2026 (3 × 1,500)".
- One-time charges if they are paid now, a late fee and a concession, if any.
- How it was paid (cash, UPI, cheque or bank transfer) with the reference number, and who received it.
The total is written in words the Indian way, in lakh and crore, for example "Rupees Seven Thousand Fifty Only". After each PDF download, the receipt number moves on by one, so a counter of receipts stays in order. Print both copies on one A4 sheet and cut along the line: the student copy goes home and the office copy stays in your file.
The Excel fee register
The Excel button saves a fee register for the class. Each student has a row, each month a column. Type the amount a student paid under the month, and the Total paid and Balance columns update by themselves. Change the monthly fee in the top-right cell and every student's fee due follows. A second sheet has a fee card with a formula for each month's total, handy if you keep cards on a computer.
Tips for fee cards that save arguments
- Write the due date and the late-fee rule on the card. Parents then see it every time they pay. Keep the wording short and clear.
- Give every payment a receipt number and write it on the card. If a question comes up later, the card points straight to the receipt.
- Keep one-time charges separate from monthly fees, so the monthly total stays easy to check.
- Use A5 for students and A4 for your office file. A5 cards fit in a school diary; A4 has larger writing space.
- Use the same colour every year for each section or batch, so cards are easy to sort.
- Check the session months if your coaching course runs from June or January. Set the first month and the number of months to match.
Who uses it
Small private schools and play schools that collect fees monthly, home tuition teachers with a dozen students, coaching institutes running batches for board exams or entrance tests, music and dance classes, and school transport operators who collect a monthly van fee. Anyone who takes a regular fee and wants a clean record for both sides can use it.
Your data stays with you
Everything is made inside your browser. Student names, phone numbers and fee amounts are not uploaded anywhere. The form is saved in this browser only, so you can come back next month and print new receipts without typing your fees again.
This page gives you a general fee card and fee receipt format. If your school board, state rules or accountant need particular details on receipts, such as a registration number, a GSTIN for taxable coaching services, or a specific receipt series, add them or follow their format.

Frequently asked questions
What is a fee card?
A fee card is a small record the student or parent keeps for the school year. It lists every month of the session with the fee due, and the school fills in the date paid, the receipt number and a signature each time a payment comes in. It lets both sides see at a glance which months are paid.
Can I make fee cards for a whole class at once?
Yes. Paste the class list with roll number, name, class, father's or guardian's name and phone, one student per line. You get one filled card per student in a single PDF, either one per A4 page or two A5 cards on each A4 sheet.
My coaching batch starts in June. Can the card start then?
Yes. Pick the first month and the number of months on the card, from 1 to 12. A six-month course starting in June shows June to November, each with its due date.
How do I make a fee receipt for one payment?
Switch to Fee receipt, enter the receipt number, date and student details, and choose the months the payment covers. The tool multiplies each monthly fee by the number of months, adds any late fee and one-time charges, takes off a concession and writes the total in words. It prints an office copy and a student copy on one A4 sheet.
Does the receipt number go up by itself?
Yes. After you download a receipt PDF, the number moves to the next one, so FR-041 becomes FR-042. You can always type a different number.
What does the Excel fee register do?
It has one row per student and one column per month. Type what each student paid under the month and the Total paid and Balance columns work it out with formulas. A second sheet holds a fee card with month-wise totals.
Is this an official fee receipt format?
It is a general format for schools, tuition centres and coaching institutes to record fees they actually received. If your board, state rules or accountant ask for particular details, such as a registration number or GSTIN, add them in the address line or follow their format.
