Asking for help with school fees

A difficult year can make school fees hard to manage: a lost job, a business that had to close, a long illness, or the death of the family's earning member. Many schools have some room to help, through a fee concession, instalments or more time, but they decide case by case, and the request usually starts with a letter to the principal.

This page opens the fee concession letter. A parent can write it for a son or daughter, or a student can write it themselves, in English or Hindi.

How the letter is built

  1. Who the student is: "my daughter Kavya Joshi is a student of Class 9 A in your school (Roll No. 17)".
  2. What happened, briefly: "As our family's only earning member lost his job this year, our family is facing financial difficulty and is unable to pay the full school fee."
  3. The student's record: a line that the student has been regular and sincere.
  4. The request: "I request you to kindly grant her half fee concession for the session 2026-27."
  5. Documents: an offer to submit any document the school needs.

Full, half or some concession?

ChooseWhen
Full feeThe family has no regular income at present
Half feeIncome has dropped sharply but has not stopped
Some concessionYou want to leave the amount to the school's judgment

Ask for what you genuinely need. A realistic request is easier for a school committee to approve.

Documents that help

  • An income certificate from the local authority, if you have one.
  • A termination or relieving letter for a job loss, or medical papers for an illness.
  • Any scholarship or government scheme papers that apply to the student.

Each school sets its own rules, so ask the office what they want before you submit. Some schools run separate scholarships or have seats under government schemes with their own application process.

If a concession isn't possible

Use the Fee instalments / late fee letter. It asks to pay in instalments, to waive a late fee, or for more time, and can name the date by which you will pay. A school that cannot give a concession may still agree to this.

Submit the letter early in the session, before fee deadlines, so the school has time to decide.

Writing it in Hindi

Choose हिन्दी: "इस वर्ष परिवार के एकमात्र कमाने वाले सदस्य की नौकरी छूट गई है, इस कारण हमारा परिवार आर्थिक कठिनाई में है …". The request reads "सत्र 2026-27 के लिए उसे आधी शुल्क माफ़ी प्रदान करने की कृपा करें।" Choose पुत्र or पुत्री, and your own gender for the closing भवदीय / भवदीया.

Print it, sign it, and keep a copy. Nothing you type is uploaded or stored on a server.

Frequently asked questions

How do I write a fee concession application?

Address the principal, give the student's class and roll number, explain the financial difficulty in one or two lines, and ask for full, half or some concession for a named session. Offer to submit documents. Choose 'Fee concession' here to get the letter.

What reason should I give for fee concession?

A short, true reason such as a job loss, a business closure, a serious illness in the family or the death of an earning member. Avoid long emotional stories; schools decide on facts and documents.

What if the school can't give a concession?

Ask about paying in instalments or more time to pay. The 'Fee instalments / late fee' letter asks for instalments, a late fee waiver or extra time.

Do schools have fixed rules for fee concession?

Each school or trust sets its own concession policy, and some have a form or committee. Ask the office about the process and the documents they need.
