A clear salary certificate, issued from your payroll records

Employees ask HR for a salary certificate more often than almost any other letter. Banks want one for a home, car or personal loan and for credit cards. Embassies want proof of employment and salary for a visa. Landlords and housing societies sometimes ask for one before renting a flat. In each case the reader wants the same few facts from the employer: this person works here, since when, in what role, and at what salary.

This generator is for employers, HR teams, accountants and school managements who issue these certificates. You enter the details from your own records, type the salary components exactly as they appear in your payroll, and the certificate appears on an A4 page as you type, with a neat earnings and deductions table and the amounts in words. Download it as a PDF or Word file, or print it.

There are four formats:

  • To whom it may concern: a general salary certificate that the employee can show anywhere.
  • For a bank loan: addressed to the branch manager of the bank, with the type of loan and, if you like, the account the salary is credited to.
  • For a visa application: addressed to the visa officer of the embassy or consulate, with the leave dates approved for the trip and the date the employee resumes duty.
  • For renting a home: a general certificate that says it is issued for a rental application.

All four are in English and Hindi.

How to use the salary certificate generator

  1. Choose the purpose and language.
  2. Issued by. The company name, a reference number if you use one, the date of issue and the place.
  3. Addressed to. For a loan, the bank and branch and the type of loan. For a visa, the country, the embassy or consulate city, the purpose of travel and the leave dates.
  4. Employee. Name, how to address them, employee ID, PAN if the bank wants it, designation, department, the date they joined and the type of employment.
  5. Salary. Type each earning on its own line with its monthly amount, for example "Basic salary: 32,000", then the deductions the same way. The gross and net salary fill in by themselves. Add the annual CTC if the reader wants it, and choose whether the table shows per month only or per month and per year.
  6. Letterhead, signature and stamp. In step 3, add your logo, address and colour, and a signature and stamp image if you use them.
  7. Download. PDF, Word or print. Copy the text if you need it in an email.

What a salary certificate usually contains

PartWhat to write
Letterhead, reference and dateYour organisation's name, address and contact details, a reference number and the date of issue
Employee detailsFull name, employee ID, designation, department, date of joining, permanent or contract
Salary breakupEarnings (basic, HRA, allowances) and deductions (PF, professional tax, TDS) per month, with gross and net salary
Amount in wordsFor the gross and net monthly salary, in the Indian style (lakh, thousand)
PurposeLoan, visa, rental or general use
SignatureAn authorised signatory's name, designation, signature and the company seal

Use the figures from your payroll for the month you state, or for the current month if you leave the month empty. If the certificate is for a loan, the bank will often compare it with the employee's salary slips and bank statement, so the numbers should match.

Gross salary, net salary and CTC

These three numbers are often confused, and readers notice when they don't add up:

  • Gross salary is the total of the monthly earnings before deductions.
  • Net salary (take-home pay) is the gross salary minus the employee's deductions, such as their PF contribution, professional tax and TDS.
  • CTC (cost to company) is what the employer spends on the employee in a year. It can include the employer's own PF contribution, gratuity, insurance and bonuses, so it is usually higher than twelve times the gross salary.

The tool adds your lines and shows gross, total deductions and net per month, and per year if you choose. It does not calculate PF, ESI, professional tax or income tax, so the certificate always shows what your payroll shows.

Tips for loan and visa certificates

  • Ask for the reader's list. Banks and embassies sometimes want particular wording, the PAN, or the employee's salary account. Add what they ask for and leave out what they don't.
  • Visa letters need dates that match the application. The leave dates and the date of return to duty should match the travel dates in the visa form and the leave you have actually approved.
  • Sign and stamp it. Most readers expect an authorised signature and the company seal. The tool can place a signature and stamp image, or you can sign and stamp the printout by hand.
  • Keep a copy and a reference number. A numbered copy in your files makes it easy to confirm the letter if the bank or embassy calls to verify it.
  • "Without liability" line. Many companies add that the certificate is issued at the employee's request and without any liability on the company's part. You can add it or leave it out.

Hindi salary certificate

Choose हिन्दी and the certificate reads वेतन प्रमाण पत्र, with the table headings आय, कटौतियाँ, सकल वेतन and शुद्ध वेतन, the amounts in Hindi words (for example "पचास हज़ार रुपये मात्र") and कृते above the signature. Many government-aided schools, cooperative banks and local offices prefer this format. Names can be typed in Hindi or English.

Need the monthly pay statement too? Make it with the salary slip generator. HR teams can also issue experience and relieving letters and NOC letters on the same letterhead.

Frequently asked questions

Who issues a salary certificate?

The employer. It is printed on the company's letterhead and signed by an authorised person, usually from HR, accounts or the management, often with the company seal. An employee asks for it; they should not write it themselves.

What is the difference between a salary certificate and a salary slip?

A salary slip is the monthly pay statement for one month. A salary certificate is a letter that confirms the person works with you, since when, in what role and at what salary, usually for a bank, embassy or landlord. Many banks ask for both.

What should a salary certificate for a bank loan include?

The employee's name, designation and date of joining, the type of employment, the monthly earnings and deductions, gross and net salary, and the purpose of the letter. Some banks also want the PAN and the account the salary is credited to. Check your lender's list before you issue it.

What does an employment certificate for a visa need?

Embassies usually look for proof of employment and salary, the leave dates approved for the trip and a statement that the employee will return to work. The visa format here adds the country, the purpose of travel, the leave dates and the date the employee resumes duty.

Does the tool work out PF, tax or professional tax?

No. You type the earnings and deductions exactly as they are in your payroll; the tool only adds them up and shows them per month and per year. That keeps the certificate matching your records.

Can I make a salary certificate in Hindi?

Yes. Choose हिन्दी: the heading becomes वेतन प्रमाण पत्र, the table headings and the amounts in words are in Hindi, and कृते appears above the signature.

Can I edit it in Word?

Yes. Download the Word (.docx) file to change anything before printing. The PDF is ready to print on plain paper with your letterhead, or on your pre-printed letterhead paper if you turn the letterhead off.
