Letters to the bank manager for 25 everyday requests

Many bank requests still start with a short written application to the branch manager: blocking a lost ATM card, closing an account, changing the mobile number, asking for a statement or adding a nominee. Each one needs slightly different details, and a letter that leaves out the account number or the card's last digits often means a second trip to the branch.

This tool has a separate letter for each request, with only the fields that request needs. Fill them in and the letter appears on an A4 page in English or Hindi, ready to print and sign, or to download as a PDF or Word file. Business account holders can add the firm's name, an "Authorised Signatory" line and their own letterhead, logo and stamp.

How to use it

  1. Pick the request. Choose a group, then the letter. Choose English or हिन्दी.
  2. Bank and branch. Type your bank's name and branch, for example "Civil Lines, Prayagraj".
  3. Your account. Name as in the account, account number, account type, and optionally the customer ID (CIF) and registered mobile number. For a firm or company account, add the firm name.
  4. Request details. Only the fields that letter needs: the card's last 4 digits, the cheque number and amount, the new mobile number, the statement period and so on. The tool checks formats such as a 10-digit mobile number and an 11-character IFSC.
  5. Print and sign. Download the PDF and sign it the way you signed when you opened the account, or add a signature image. Attach the documents mentioned in the letter.

Keep your card and account safe

  • Never write your full card number, CVV, PIN, OTP or passwords in a letter. The card letters ask only for the last 4 digits.
  • For Aadhaar, the letter shows only the last 4 digits (XXXX XXXX 1234). Attach a masked copy if the bank accepts it.
  • If your card is lost or stolen, block it at once through your bank's helpline, app or SMS service, then submit the letter for the record and a new card.

Unauthorised transactions: report quickly

The Reserve Bank of India's circular on limiting customer liability in unauthorised electronic banking transactions (6 July 2017) says a customer has zero liability when the fault lies elsewhere in the system, not with the bank or the customer, and the customer tells the bank within three working days of receiving the bank's message about the transaction. Once you report it, the bank is to credit the amount (a "shadow reversal") within 10 working days. The longer you wait, the more of the loss you may have to bear, so report first and write later. Report cyber fraud on the national helpline 1930 or at cybercrime.gov.in too, and put the complaint number in the fraud letter.

KYC updates without a long visit

According to the RBI's FAQs on the KYC Master Direction, if nothing in your KYC details has changed, banks are to accept a self-declaration through your registered email, registered mobile number, ATM, digital banking or a letter. If only your address has changed, you can declare the new address through the same channels and the bank verifies it within two months. The KYC letter has both options: "No change" writes the self-declaration, and "Something changed" lists the fresh documents you attach.

Nominees: up to four people

The nomination provisions of the Banking Laws (Amendment) Act, 2025 came into force on 1 November 2025 (PIB, 23 October 2025). You can now name up to four nominees for a deposit account, either together with shares adding up to 100% or one after another. For lockers and articles in safe custody, only successive nominations are allowed. The nominee letter asks the branch for its nomination form, which is where the shares are recorded.

Tips that save a second visit

  • Write the account number exactly as on your passbook or cheque.
  • Sign the letter the same way as your specimen signature at the bank.
  • Attach self-attested copies of the documents the letter mentions, and carry the originals.
  • Many banks have their own printed form for requests such as account closure, nomination and KYC. The letter is your covering request; fill the bank's form too if they ask.
  • Ask for an acknowledgement or a stamped copy of your letter.

Frequently asked questions

How do I write an application to the bank manager?

Address it to 'The Branch Manager' with the bank and branch name, add the date and a clear subject, then state your account number and the request in two or three sentences. Close with 'Yours faithfully', your name, account number and mobile number. Pick your request in the tool and it writes this for you.

What should I write in a letter to block a lost ATM card?

Give the last 4 digits of the card, when and where it was lost or stolen, and ask the bank to block it and confirm. Ask for a new card if you need one. Block the card immediately through the bank's helpline or app first, and never write the full card number, PIN or CVV.

How do I write a letter to close a bank account?

Choose 'Close my account', give a reason if you wish, and say how you want the balance: transfer to another account (with its number and IFSC), cash or cheque at the branch, or a demand draft. Return unused cheque leaves and the debit card with the letter. Many banks also ask for their own closure form.

How do I change my mobile number in a bank account?

Use the 'Change mobile number' letter with your old and new numbers and attach a self-attested ID such as your Aadhaar card. Many banks also let you update it at an ATM or through net banking; the letter is for a branch visit.

Do I need to visit the branch for re-KYC?

Not always. The RBI's KYC FAQs say that if your KYC details have not changed, banks are to accept a self-declaration through your registered email or mobile, ATM, digital banking or a letter. The KYC letter here writes that self-declaration, or lists new documents if something has changed.

How many nominees can I add to a bank account?

Up to four, under the nomination provisions of the Banking Laws (Amendment) Act, 2025, in force from 1 November 2025. Nominees can be named together with shares that add up to 100%, or one after another. Ask your branch for its nomination form.

Can I write the bank application in Hindi?

Yes. Choose हिन्दी and the letter follows the Hindi format: सेवा में, शाखा प्रबंधक महोदय/महोदया, विषय, and a body starting with सविनय निवेदन है कि. Bank names and account numbers can stay in English.

Can I print it on my company's letterhead?

Yes. Add the firm name under 'Your account' for the 'For <firm> / Authorised Signatory' lines, then turn on 'Print on a letterhead' to add your firm's name, address, contact line, logo and a colour. You can also add a signature and stamp image to the PDF.
