Experience and relieving letters, ready on your letterhead
When an employee leaves, they usually ask for two documents: a relieving letter, which confirms that their resignation was accepted and they were relieved on a certain date, and an experience letter or certificate, which records how long they worked with you and in what role. New employers, background verification teams and some visa and admission processes ask for these, so it helps when they are clear, dated and signed.
This tool is for HR teams, business owners, school principals and anyone who issues these letters on behalf of an organisation. You fill in the details from your own records, and the letter appears on an A4 page as you type. Add your logo, address and colour as a letterhead, and a signature and stamp image if you like. Download a PDF or Word file, print it, or copy the text into an email.
There are five formats: an experience certificate (to whom it may concern), an experience letter addressed to the employee, a relieving letter, a combined relieving and experience letter, and a teacher's experience certificate signed by the principal. All of them are available in English and Hindi.
How to use the experience letter generator
- Choose the letter and language. Pick one of the five formats and English or हिन्दी.
- Issued by. Enter the company name, a reference number if you use one, the date of issue and the place.
- Employee. Name, how to address them (Mr., Ms. or name only with "they"), employee ID, department and the designation at the time of leaving. If they were promoted, enter the designation they joined in and up to two promotions with dates.
- Service and exit. Enter the date of joining and the last working day. The total service fills in by itself. For relieving letters, add the date of the resignation letter, how the notice period was handled and the status of the full and final settlement.
- Remarks. Add the main responsibilities, a conduct or performance line and good wishes, or leave them out.
- Letterhead, signature and stamp. In step 3, turn on "Print on a letterhead" and add your logo, address and colour. Add the signature and stamp images, or sign and stamp the printout by hand.
- Download. Download the PDF or Word file, print it, or press Email to send it.
What an experience certificate usually includes
| Item | Why it matters |
|---|---|
| Letterhead, reference number and date | Shows who issued it and when, and lets you trace it in your records. |
| Employee's full name and employee ID | Matches the letter to the person and to your payroll records. |
| Date of joining and last working day | The core of the letter. New employers check these against other documents. |
| Designation (and promotions) | Shows the role at the time of leaving and how it changed. |
| Department and main responsibilities | Optional, but useful for the employee's next job. |
| Conduct or performance line | Optional. Write only what your records support. |
| Signatory's name, designation, signature and seal | Someone authorised by the organisation should sign. |
The relieving letter: notice period and settlement
A relieving letter refers to the employee's resignation letter and its date, confirms that the resignation was accepted, and gives the date they were relieved, usually "at the close of working hours" on the last working day. The tool also lets you say how the notice period was handled (served, waived by the company, or the shortfall settled as per the terms of employment), whether the full and final settlement is complete or being processed, and that company property was handed over. An optional line reminds the employee that confidentiality obligations continue after they leave.
On final dues: the Code on Wages, 2019, one of the four labour codes in force since 21 November 2025 (PIB), says in section 17(2) that wages payable to an employee who has resigned shall be paid within two working days of the resignation. Gratuity, provident fund and leave encashment follow their own rules. This page is a format, not legal advice, so check with your payroll or legal adviser how this applies to your organisation.
How the total service is worked out
The tool counts from the date of joining to the last working day with both days included, then shows it in years, months and days.
| Joined | Last working day | Total service shown |
|---|---|---|
| 1 July 2021 | 30 September 2026 | 5 years and 3 months |
| 15 March 2024 | 14 October 2026 | 2 years and 7 months |
| 10 January 2026 | 25 March 2026 | 2 months and 16 days |
If your records describe it differently, type over the figure. Clear the box to go back to the worked-out value.
Teachers and Hindi letters
The teacher's experience certificate is signed by the principal and mentions the post, such as PGT Mathematics or TGT English, the subjects taught and the classes. Every format is also available in Hindi, with अनुभव प्रमाण पत्र or कार्यमुक्ति पत्र as the heading, कृते above the signature, and verbs that follow the gender you choose. Hindi lines are placed into the PDF as sharp images so the matras and conjuncts print correctly.
Good practice for HR teams
- Issue letters only from your own records, and only to people who actually worked with you. Never backdate a letter or change dates on request.
- Use the same name spelling as in the employee's ID and payroll records.
- Keep a copy, with the reference number, in the employee's file.
- Keep the conduct line factual. A plain letter with dates and designation is always acceptable.
- If the employee leaves on short notice or with dues pending, say only what is settled. You can issue the experience letter later.
Nothing you type is uploaded: the letter is made in your browser, with no sign-up and no watermark. For the employee's side, there is a resignation letter generator, and for new joiners an offer letter generator.

Frequently asked questions
What is the difference between an experience letter and a relieving letter?
A relieving letter confirms that the employee's resignation was accepted and they were relieved on a given date, often with notice and settlement details. An experience letter or certificate records the period of service and designation, and may add a line on conduct or work. Many companies issue one combined relieving and experience letter.
Who signs an experience certificate?
Someone authorised by the employer, usually the HR head, a director, the proprietor or, in a school, the principal. It goes on the organisation's letterhead with the signatory's name and designation, and many add the company seal.
Can an experience letter be issued after the employee has left?
Yes. Employers often issue it on the last working day or soon after, but it can be issued later from the employee's service records. Use the actual joining and leaving dates from your records, and the date you sign as the date of issue.
How is the total service worked out?
The tool counts from the date of joining to the last working day, both days included. For example, 1 July 2021 to 30 September 2026 shows as 5 years and 3 months. You can type over it if your records describe it differently.
Should the letter say why the employee left?
It does not have to. The reason line is optional: leave it out, or choose resigned, fixed-term contract ended or retired. Write only what your records show.
Can I make an experience certificate in Hindi?
Yes. Choose हिन्दी. The certificate uses अनुभव प्रमाण पत्र, कृते above the signature and the right verb forms for the gender you choose. The relieving letter and the teacher's certificate are also available in Hindi.
Is anything uploaded when I add our logo, stamp or signature?
No. The images stay in your browser and are only placed into the preview, PDF and print. The logo and letterhead details are saved on your device for your next letter; the signature and stamp are not saved.
