Put the PNG on a document with our Sign PDF tool, or give the SVG or PDF to a rubber stamp shop. The PDF shows the stamp at its real size in mm.

Design a stamp for your own business, clinic, school or society. A digital stamp image is not a legal seal on its own. Never copy a government, court or notary seal, and do not use the State Emblem or any official emblem. Nothing you type or upload leaves your browser.

The stamp under every signature

Look at any invoice, quotation or letter from an Indian firm and you will usually see the same thing under the signature: a rectangular stamp that says "For Sharma Traders" at the top and "Authorised Signatory" at the bottom, with the signature in between. It tells the reader that the person signed for the business, not in a personal capacity. This page opens the stamp maker with that format ready, so you only need to change the name.

Three common versions

Who signsBottom lineWhere it is used
Sole proprietorProprietorShops, small traders and service firms run by one owner
Partner in a firmPartnerPartnership firms and LLPs
Director or staff member with authorityAuthorised Signatory or DirectorPrivate limited companies and larger firms

The tool has ready formats for Authorised Signatory and Proprietor; for any other title, simply type it as the last line.

Laying out the rectangle

The first line is printed bold and as large as the width allows, so the company name stands out. The middle box is where the signature space comes from: every empty line you leave there adds a gap. Two empty lines suit a 60 × 25 mm stamp. If you would like a small line such as the GSTIN or the city in the middle, type it on one of those lines instead and make the stamp a little taller, for example 60 × 30 mm.

A single border is the usual choice for this stamp; a double border gives a slightly more formal look. Blue and violet inks are the most common. Keep the wording to what you really need, because a crowded stamp becomes hard to read once it is inked.

Round seal as well?

Many firms keep two stamps: this rectangular one for signatures, and a round seal with the company name around the edge for certificates, agreements and official letters. Tap "Round company seal" in the formats to design the matching seal with the same ink colour and font.

Choosing the size

The most common size for this stamp is about 60 × 25 mm, which fits under a signature on A4 bills and letters without covering other text. A long company name may need 70 × 30 mm so the first line does not become too small. Ask your stamp shop which self-inking sizes they stock and match the width and height here.

Using it digitally

Download the transparent PNG to add the stamp to invoices made in Word, Excel or our GST invoice generator, and place your signature image above it with the Sign PDF tool. For a physical stamp, give the stamp shop the SVG or the actual-size PDF.

Use this only for your own business. A stamp in the name of a company you do not represent, or one that copies an official seal, is not allowed.

Frequently asked questions

What is an authorised signatory stamp?

It is a rectangular stamp reading 'For <company name>' at the top and 'Authorised Signatory' at the bottom, with space between them for a signature. It shows that the person signing is doing so on behalf of the business.

Should a proprietor use 'Authorised Signatory' or 'Proprietor'?

A sole proprietor usually signs as 'Proprietor', partners as 'Partner', and directors or employees with authority as 'Authorised Signatory' or 'Director'. Pick the format that matches who will sign; you can type any title.

How much space should be left for the signature?

On a 60 × 25 mm stamp, two empty middle lines leave a comfortable gap. Add more empty lines in the middle box for a bigger gap, or make the stamp taller.

Does a business need a stamp by law?

A stamp shows which business a document comes from, but on its own it does not make a document valid; the signer's authority does. Many banks, offices and customers still expect one, so most businesses keep a stamp anyway.
