A Hindi joining report without the typing trouble

Teachers, clerks, patwaris, nurses, police staff and most state government employees in Hindi-speaking states hand over their joining report in Hindi. The wording follows a familiar pattern, but typing it in Devanagari on a phone or at a cyber café takes time, and small slips in the verb forms look careless. The usual Hindi format

A Hindi joining report reads like this:

• सेवा में, प्रधानाचार्य / कार्यालय प्रमुख / जिला शिक्षा अधिकारी, followed by the school or office name.
• दिनांक and विषय: "शिक्षक पद पर कार्यग्रहण रिपोर्ट" or "अर्जित अवकाश के उपरांत कार्यग्रहण रिपोर्ट".
• महोदय / महोदया,
• The statement, starting "सविनय निवेदन है कि नियुक्ति आदेश संख्या … दिनांक … के अनुपालन में मैं, …, आज दिनांक … को पूर्वाह्न में … के पद पर कार्यभार ग्रहण कर रहा हूँ।"
• The request: "कृपया मेरी कार्यग्रहण रिपोर्ट स्वीकार कर मुझे कार्य करने की अनुमति प्रदान करें।"
• भवदीय (or भवदीया), your name, post, employee code and mobile number, then संलग्न with the list of attachments.

Male and female verb forms

Hindi verbs change with the writer's gender: कर रहा हूँ or कर रही हूँ, उपस्थित हो गया हूँ or हो गई हूँ, था or थी, and भवदीय or भवदीया at the end. Choose पुरुष or महिला in the form and every verb in the letter follows. This is the detail most copied templates get wrong.

Three situations, three reports

नई नियुक्ति (new appointment): quote the appointment order number and date. अवकाश के बाद (after leave): give the leave type (अर्जित, चिकित्सा, आकस्मिक, मातृत्व or बाल देखभाल अवकाश), the dates and the number of days, which the tool counts for you, and mention the medical fitness certificate after medical leave. स्थानांतरण के बाद (after transfer): quote the transfer order, the office that relieved you and the date, and attach the कार्यमुक्ति आदेश.

Addressing the right officer

In a school, the joining report usually goes to the प्रधानाचार्य (Principal) or प्रधानाध्यापक, and a copy may go to the खंड शिक्षा अधिकारी or जिला शिक्षा अधिकारी. In other offices it goes to the कार्यालय प्रमुख or the officer named in your order. Pick one from the list, or choose "अन्य" and type the designation exactly as it appears in your order.

Typing in Hindi

You don't have to type the letter text: it is already written. You only fill in names, dates and numbers, and those can be in English. If you want your name in Devanagari but don't have a Hindi keyboard, write it with our Hindi typing tool and paste it in.

Before you hand it over

• Check the order number and date against the order itself.
• Sign in the space above your name; use the same signature as in your service book.
• Keep a copy with the office's receiving stamp and date. It is your proof of joining if a pay or seniority question comes up later.
• If your department has its own printed joining form, fill that in and attach this letter only if they ask for one.
