Fee receipts for coaching and tuition, without a receipt book
Coaching classes collect fees in every possible pattern: a full course fee at admission, two or three instalments, or a monthly fee that some students pay three months at a time. A pre-printed receipt book handles none of that well. You end up writing the period, the arithmetic and the amount in words by hand, often in a hurry while the next batch waits.
This page opens the fee receipt side of the fee card maker, set up for a coaching institute. The labels read "Course or batch" and "Reg. no.", and the receipt does the sums for you.
Making a receipt
- Type your institute's name and, on one line, the address and phone number.
- Under Session and fees, set the first month of the course and how many months it runs. A batch that starts in June and runs for ten months covers June to March.
- List the monthly fee (for example
Tuition fee, 2000) and any extra monthly heads such as a test-series fee. Put the registration or study-material fee under one-time charges. - Fill in the receipt number, date, student name, batch and registration number.
- Choose the months the payment covers. Tick "Add the one-time charges" if the student is paying them now.
- Add a late fee or a concession if there is one, pick how it was paid, and download the PDF.
Monthly fees, instalments and a lump sum
| How the student pays | How to set it up |
|---|---|
| Every month | Choose the same month in "from" and "to". |
| Three months at a time | Choose the first and the third month. The receipt shows the period and "3 × the monthly fee". |
| Full course fee at once | Choose the first and the last month of the course, or put the course fee under one-time charges and tick it. |
| Scholarship or sibling discount | Type the amount under Concession. It is taken off before the total. |
Why two copies on one page
The student copy is the parent's proof of payment. The office copy, with the same number, date and amount, is your record when you tally the cash or the UPI statement at the end of the day. Printing both from the same screen means they always match, and the cut line keeps the sheet tidy. Choose "One copy" if you only need to send a PDF on WhatsApp.
Keep the numbering in order
Use a short prefix for the year or branch, like BFA-26-001. Each time you download a receipt, the number moves to the next one, and the page remembers it in this browser. If you collect at two desks, give each desk its own prefix so numbers never repeat.
Fee cards for the whole batch
The same tool prints a fee card for every student in the batch: paste the list once and get a card with each month's due date and space for the date paid and the receipt number. Switch "What to make" to Fee card. The Excel fee register adds up what each student has paid and what is still due.
Nothing you type is uploaded. Names, amounts and receipt numbers stay in your browser. This is a plain fee receipt for money you have received. If your institute is registered under GST, check with your accountant what kind of invoice you need to issue.

Frequently asked questions
What should a coaching fee receipt include?
The institute's name and contact details, a receipt number and date, the student's name and batch, what the payment is for (the months or the course fee), the amount in figures and in words, how it was paid and the signature of the person who received it.
Can one receipt cover several months?
Yes. Choose the first and last month in 'Fee for'. Each monthly fee is multiplied by the number of months and the period is printed on the receipt, for example 'Jun 2026 to Aug 2026 (3 × 2,000)'.
How do I show a scholarship or discount?
Type it under Concession. It appears as 'Less: concession' with a minus sign, and the total and the amount in words are worked out after it.
Can I keep a copy for my records?
Leave 'Office + student copy' on. Both copies print on one A4 sheet with a cut line between them, so the student takes one and you file the other.
Does my coaching centre need GST on fees?
That depends on your services and turnover under the GST law. This page makes a plain fee receipt. If you are registered under GST, you need a proper tax invoice, so speak to your accountant or use a GST invoice format.
