Your details are saved only in this browser. This makes a normal GST invoice PDF. It does not create an e-invoice (IRN) or file returns. The Excel and Word files hold the same details as an editable table; the logo, signature and UPI QR are in the PDF only.

    What a delivery challan is for

    Goods don't always move because they have been sold. A garment unit in Tiruppur sends cut fabric to a stitching job worker, a fabricator in Pune sends parts out for powder coating, a gas dealer sends a tanker before the exact quantity is measured. In these cases the goods still need a document on the way, and under GST that document is a delivery challan, issued in place of an invoice.

    The page above opens the GST invoice tool with Delivery Challan selected. You get a challan number series, a purpose line, the consignee's details, item lines with HSN codes and taxable value, optional tax lines, and the three copy markings, all in one PDF. Excel and Word versions are a click away if your office keeps challans in a register.

    When Rule 55 allows it

    Rule 55 of the CGST Rules lets the consigner issue a delivery challan instead of an invoice at the time goods are removed for transport in these cases:

    • supply of liquid gas where the quantity at the time of removal is not known;
    • transport of goods for job work;
    • transport of goods for reasons other than by way of supply;
    • other supplies that the Board notifies.

    The rule also covers two follow-ups. If goods move for a supply but the tax invoice could not be issued at removal, the supplier issues the tax invoice after delivery. And when goods go in semi knocked down or completely knocked down condition, or in batches or lots, the complete invoice is issued before the first consignment, each lot travels on its own challan that refers to that invoice, and the original invoice goes with the last lot. Choose the matching purpose in the tool and fill in "Against invoice no." for the second case.

    Three copies, marked

    For a supply of goods the challan is made in triplicate, marked ORIGINAL FOR CONSIGNEE, DUPLICATE FOR TRANSPORTER and TRIPLICATE FOR CONSIGNER. These are the words of the rule, including its spelling "consigner". Pick "3 copies in one PDF" and print the file once: the first page goes with the goods to the receiver, the second to the driver or transport company, and you keep the third.

    Practical tips

    • Keep a separate series. Challan numbers shouldn't mix with your tax invoice numbers. "Next challan" moves the challan series on its own.
    • Write the vehicle number. It isn't in the list above, but transporters and the receiving gate usually ask for it.
    • Check the e-way bill. Rule 55(3) points to rule 138 for declaring goods that move on a challan. This tool doesn't create e-way bills.
    • Match it back. When the job worker returns the goods, or the final invoice is made, refer to the challan number so your records connect.

    Frequently asked questions

    When can I use a delivery challan instead of a tax invoice?

    Rule 55 of the CGST Rules lists the cases: supply of liquid gas where the quantity is not known when it leaves your premises, transport of goods for job work, transport of goods for reasons other than by way of supply, and other supplies the Board notifies. For a normal sale, issue a tax invoice.

    How many copies of a delivery challan are needed?

    For a supply of goods, Rule 55(2) asks for the challan in triplicate: ORIGINAL FOR CONSIGNEE, DUPLICATE FOR TRANSPORTER and TRIPLICATE FOR CONSIGNER. Pick "3 copies in one PDF" under Copy marking and each page is marked for you.

    Does a delivery challan show GST?

    It always shows the taxable value of the goods. The tax rate and tax amount are needed only where the goods are moving for a supply to the consignee. Tick "Show tax rate and amount" in that case; otherwise leave it off.

    What if I don't know the exact quantity yet?

    Rule 55 allows the quantity to be shown as provisional where the exact quantity being supplied is not known. Tick "Quantity is provisional" and the quantity column is labelled that way on the challan.

    Do I still need an e-way bill with a delivery challan?

    Possibly. Rule 55(3) says goods moved on a delivery challan are to be declared as specified in rule 138, which is the e-way bill rule. Check rule 138 or ask your CA whether your movement needs one; this tool does not create e-way bills.
