Why offices ask for a joining report after leave

When you go on earned leave, medical leave, maternity leave or child care leave, your office marks you absent on leave from a date. When you come back, someone has to record the date you returned, or your leave account and salary will be wrong. In government offices, schools, colleges, banks and many large companies that someone is you: you give the head of office a short joining report, and the office files it in your service record.

The generator above is already set to Joining report after leave. Enter your name and post, choose who the letter is addressed to, pick the type of leave and the dates, and the letter is ready. The number of days fills in by itself.

The format, part by part

  1. To. The head of your office: The Principal, The Head of Office, The Branch Manager, the HR Manager or an education officer. Write the office or school name and the city below it.
  2. Date and subject. "Subject: Joining report after earned leave". The subject names the leave type, so the clerk knows where to file it.
  3. Leave details. "I was on earned leave from 20 October 2026 to 31 October 2026 (12 days), sanctioned vide order No. 214 dated 15 October 2026."
  4. Joining statement. "On completion of my leave, I have resumed my duties as Assistant Teacher at Government Middle School, Kota on 1 November 2026 (forenoon)."
  5. Request. "Kindly accept my joining report and allow me to resume my duties."
  6. Signature block and enclosures. Your name, post, employee code and mobile number, then the documents you attach.

Leave types you can choose

Earned leave, medical leave, casual leave, maternity leave, paternity leave, child care leave, half pay leave, extraordinary leave and study leave. Each appears in the subject and the letter ("after earned leave"), and in its usual Hindi form if you switch to हिन्दी (अर्जित अवकाश, चिकित्सा अवकाश, मातृत्व अवकाश, बाल देखभाल अवकाश).

Forenoon or afternoon

Government offices often note whether an employee took charge before noon (forenoon, FN) or after noon (afternoon, AN). It can change which day counts as your first day back. Choose it under "Time of joining", or choose "Don't mention" if your office doesn't use it.

After medical leave

If your leave was on medical grounds, carry a medical fitness certificate from your doctor that says you are fit to resume duty from a date. Choose "Attached" for the fitness certificate and the letter says "My medical fitness certificate is attached", with the certificate listed under Enclosures. If your office also wants the medical certificate for the illness itself, add it to the attachments list.

Small things that avoid a returned letter

  • Copy the sanction order number and date exactly.
  • Use the same name and designation as in your service record.
  • Print two copies: hand one over and ask for the other to be signed as received, with the date.
  • Coming back early? Use "Change the wording yourself" to add that you are rejoining before the sanctioned leave ends.
