School leave letters for students and parents

School leave applications are some of the first formal letters children learn to write, and some of the most frequent ones parents send. They follow a fixed pattern that teachers recognise at a glance, which is why getting the format right matters more than fancy wording.

This page opens the school sick-leave letter. The same set has four more school letters: a family function, urgent work, a half day (leaving early) and a letter for days already missed. Each can be written by the student or by a parent, in English or Hindi.

Student or parent: what changes

For younger classes, schools usually expect the parent to write or sign. Older students often write their own letter and get it countersigned. If you are practising letter writing for an exam, write as the student; the layout matches the format taught in most schools.

Which letter to pick

  • Sick leave: illness, with an optional line about a medical certificate.
  • Family function: a wedding, puja, or other family event, with the city if you are travelling.
  • Urgent work: any other genuine reason, written in a few words such as "an urgent family matter".
  • Half day: leaving early on one day, with the time; a parent letter adds that a family member will pick the child up.
  • Was absent: for days already missed, with an apology for not informing earlier.

Small things teachers notice

  • The class, section and roll number on every letter.
  • The exact dates, not "for some days". The tool counts the days for you.
  • A neat, signed copy. Print the PDF on plain A4 paper and sign in pen.
  • A line about catching up on missed work. It shows responsibility and takes one sentence.

Attendance rules for exams are set by each school and board, so a leave letter does not by itself cover attendance shortfalls. Keep a copy or a photo of every leave letter you submit.

In Hindi too

Choose हिन्दी for the same letters in Hindi. Pick male or female so the grammar fits the writer, and for parent letters choose son or daughter. You can type names in English or Hindi; both print correctly in the PDF.

For other requests to the principal, such as a transfer certificate or fee concession, use the school application generator.
