Leave requests your manager can approve quickly

At work, a leave request is as much about planning as permission. Your manager wants to know three things: which days you will be away, whether anything will be stuck while you are gone, and how to reach you in an emergency. A letter that answers these in a few lines usually gets a quick "approved".

This page opens the casual leave letter. The office set also has sick leave, a wedding or family function, urgent or emergency leave, half-day leave and a request to extend leave that is already approved.

Six office letters and when to use them

LetterUse it for
Casual leavePlanned personal work, a short break, an appointment
Sick leaveIllness, with an optional medical certificate line
Wedding or functionA family wedding, ceremony or event, with the city
Urgent / emergencyLeave at short notice, with an apology for the short notice
Half dayFirst or second half of one day
Extend leaveWhen you can't rejoin on the approved date

Leave types and how many days of each you get are decided by your employer's leave policy, so the letter only names the kind of leave you are asking for. If you are unsure whether to ask for casual or earned leave, check the policy or ask HR.

A subject line that says everything

Busy managers read the subject first. The office letters put the type of leave and the dates in it, for example "Casual leave application from 20 October 2026 to 22 October 2026" or "Half-day leave on 20 October 2026". When you press Email, the same subject goes into your email.

The handover line

Add the name of a colleague who has agreed to handle urgent work and your phone number. The letter turns them into a sentence such as "Anil Kumar has kindly agreed to handle any urgent work in my absence. I will be reachable on 98XXXXXX10 for anything important." Leave them empty and those sentences disappear.

Email, portal or print

  • Email: add your manager's email in the form, press Email, check and send.
  • HR portal: apply in the portal and paste the letter from Copy text into the comment or reason box.
  • Print: some offices, factories and government departments still want a signed letter. Download the PDF, sign it, and keep a copy.

Hindi letters for office

All office letters are available in Hindi, using सेवा में, विषय, आदरणीय and भवदीय / भवदीया. This is useful in offices that work in Hindi or where the letter goes to a Hindi-speaking supervisor.

Frequently asked questions

How do I write a casual leave application for office?

Address your manager, use a subject like 'Casual leave application for 20 October 2026', give the dates and, if you like, a short reason. Add that you will finish pending work and who will handle urgent tasks. Close with 'Yours sincerely' and your designation.

Should I send a leave application by email?

Many offices accept email, and some require leave in an HR portal. Press 'Email' to open your email app with the subject and letter filled in. If your company uses a portal, apply there too and paste the letter text into the reason box.

How do I ask to extend my leave?

Choose 'Extend leave'. Enter the dates already approved and the new end date. The letter explains the reason, asks for the extension and counts the extra days for you.

How much notice should I give for planned leave?

Each company sets its own rules in its leave policy. As a habit, apply as early as you can for planned leave and inform your manager on the first morning for sickness or emergencies.
