When employees ask for an NOC
Employees usually come to HR for an NOC in three situations: they are travelling abroad and the visa application asks for a letter from the employer; they have got admission to a course and the institute wants proof that the employer does not object; or they are applying for another post, often in the public sector, where the application must be sent with the current employer's NOC. The format above opens with the travel NOC; switch to "Higher studies" or "Applying for another post" for the other two.
Travel and visa NOC
A visa officer wants to see that the applicant has a job to come back to. The letter therefore states:
- the employee's name, employee ID, designation, department and date of joining;
- the leave dates and the destination, with the purpose if you want to mention it;
- that the company has no objection to the travel;
- the date the employee will resume duty, which the tool fills in as the day after the trip;
- optionally, the passport number, monthly salary and who pays for the trip.
Keep the dates exactly as in the approved leave. If the trip changes, issue a fresh letter rather than correcting the old one by hand.
Higher studies NOC
For part-time, weekend and online programmes, the letter says the company has no objection provided the course does not affect official duties. For a full-time programme, it adds that leave or release for the course will be as per company policy, so the letter does not promise leave you have not approved.
NOC for applying to another post
Some recruitment notices ask candidates who are already employed to send a no objection certificate from their employer with the application, or to produce it at the interview. This format names the post and the organisation, states that you have no objection to the application, and says that if selected the employee will be relieved as per the terms of their employment.
Checklist before signing
| Check | Why |
|---|---|
| Name as in the passport or application | Mismatched spellings cause questions. |
| Designation and joining date from HR records | These are often verified. |
| Leave actually approved | The letter says it has been granted. |
| Signatory's name and designation | The receiving office may call to verify. |
Turn on the letterhead in step 3 to add your logo and address, and add the signature and seal images if you like. Government and PSU employees applying for a passport should use the formats on the Passport Seva website instead. Nothing you type is uploaded.
