A monthly attendance sheet for your staff
Shops, clinics, small factories, construction sites, restaurants, security agencies and offices all need to know who came to work on which day. Many still keep a notebook with hand-drawn columns; others start a spreadsheet each month and redo the formulas. This page sets the attendance sheet maker up for staff: the columns say Emp. ID and Name of employee, the header has room for the department or shift and the supervisor, and the signature lines read Supervisor and Manager / HR.
Setting up the sheet
- Pick the month and year, and type your company or office name and the department, site or shift.
- Paste your staff list. Put the employee ID first, followed by a comma:
E101, Ravi Shankar. You can paste two columns straight from Excel. - Choose the weekly off. Offices that close on the 2nd and 4th Saturday can pick that option; a shop open all week can pick None.
- Add holidays, one per line with the date first, like
26 Republic Day. - Download the Excel file to keep attendance on a computer, or the PDF to put on a clipboard at the gate.
What the Excel sheet does for you
| Column | What happens |
|---|---|
| Day 1 to 31 | Pick P, A, L or H from the drop-down in each cell. Weekly offs are grey and holidays are coloured. |
| P | Counts the P entries in the row with COUNTIF. |
| A | Counts the A entries. |
| L | Counts the L (leave) entries. Turn the column off if you don't track leave. |
| % | P ÷ working days × 100, rounded to one decimal place. |
The working days for the month are shown in the top row. If the business opens on a listed holiday, change that number and the percentages update.
Using the totals at month end
At the end of the month, the P, A and L columns give you a quick summary for each person: days worked, days absent and leave taken. Many small employers use these counts when they prepare salaries, along with their own leave and pay policy. Our salary slip generator can then make the payslips.
A few habits keep the register reliable:
- Mark attendance daily, not from memory at the month end.
- Use one person to mark it, or one per shift, and have them sign the printed sheet.
- Record half days your own way, for example with a note, and decide in advance how they count.
- Keep the old months: save each month's Excel file or file the printed sheets.
Shift work and large teams
For teams on shifts, make one sheet per shift, putting the shift name in the department field, so each supervisor has a short list. Each A4 page holds 24 people; longer lists continue on more pages with the same headings, and the Excel file keeps everyone on one sheet.
Labour laws and some state rules prescribe their own registers for certain establishments. This sheet is a general monthly format that doesn't replace a prescribed form; if one applies to your business, keep that too. Employee names stay in your browser and are not uploaded.

Frequently asked questions
How do I keep employee attendance in Excel?
Download the Excel file for the month with your employees' IDs and names. Each day's cell has a P, A, L or H drop-down, and the totals and attendance % update by themselves through COUNTIF formulas.
Can I set Sunday and the 2nd and 4th Saturday as offs?
Yes. Choose 'Sunday + 2nd, 4th Saturday' under Weekly off. You can also pick Sunday only, Saturday and Sunday, or no weekly off for a seven-day business.
Can I use this for salary calculation?
The register gives you present, absent and leave counts for each person, which many small businesses use when they work out pay. How leave, half days and weekly offs affect pay depends on your policy and the labour laws that apply to you.
Is this the statutory muster roll for my establishment?
It's a general monthly format. Some labour laws and state rules prescribe their own registers and forms; if one applies to you, keep that format as well.
